Answers to common questions.

Running a conference

How do I put my conference on Acadex?

Create an organiser account from the home page, then request your conference with its dates and the number of papers you expect. We email you an invoice at once; when it is paid we approve the conference.

How do authors join?

Once your conference is approved, its page shows a private signup link. Share it with your authors. Only people who join through it can submit papers to your conference. You can replace the link at any time; people who already joined stay joined.

Who reviews the papers?

Your participants do. When the call closes, each paper is given to two people who submitted to the same conference, never to its own author, with workloads kept even. Same-discipline reviewers and other institutions are preferred where possible.

How do reviewers know they have papers to review?

Press “Notify reviewers” on your conference page. Everyone with a review waiting gets an email; press it again later to send a reminder. Reviewers are also reminded automatically 7, 3 and 1 days before reviews are due.

Who decides which papers are accepted?

You do. You are emailed as each review is finished. Each paper shows its scores, feedback and justifications side by side, and you accept or reject it. You can download everything as an Excel or CSV file.

Submitting a paper

How do I submit a paper?

Open the signup link your conference organiser sent you and create an account (or sign in). The conference then appears on your papers page: fill in the details, attach your paper as a PDF or Word file, and submit.

Can I change my paper after submitting it?

Yes, until it is sent to reviewers. That usually happens when the call for papers closes. After that it is locked so every reviewer reads the same version.

Should my name be in the file?

No. Most conferences use double-blind review, so remove the authors’ names from the text before you upload. We also remove names from the file’s hidden properties automatically.

When will I hear back?

We email you when the organisers decide. You can then read every reviewer’s score, feedback and justification, and download any marked-up copies. Reviewers stay anonymous.

Reviewing

Why have I been given papers to review?

Everyone who submits to a conference also reviews for it. After the call closes you are given other participants’ papers, never your own.

How do I score a paper?

Write your feedback for the authors, then choose a score: 3 to fully accept the paper for the conference, 2 to partially accept it, or 1 to reject it. Add a brief justification for the score. You can also upload a marked-up copy.

What if I cannot review a paper?

Open it and choose “I cannot review this paper”. If you know the authors, tick the conflict of interest box. The paper goes to another participant straight away.

Can I change my review after sending it?

No. Save it as a draft while you work, and send it only when it is finished.
